Overview of the role (what will the learner be doing and what will the learner gain):

As an apprentice working alongside our team of talented medical professionals and administrative team your duties will include:

Answering the telephone and speaking to patients

Filing and retrieving patient information and documents

Data entry, dealing with internal and external correspondence

Sending and receiving faxed correspondence

Printing and organising post

Maintaining office equipment

Speaking to both internal and external customers such as hospitals and pharmacies

Administration and clerical duties
Support the team to maintain accurate, timely and legible records
Develop working relationships with colleagues
During your apprenticeship you will advance your skills in:
Recording and document production
Decision making
Planning and organisation
Project management

Training to be provided (Qualifications to be gained):

Level 3 Business Administrator apprenticeship standard, which includes:
Level 2 Functional Skills in maths and English (if required)
End-Point Assessment (EPA)

Ability to record and process information accurately

Ability to implement and maintain electronic and manual information systems

Awareness of the skills and approach required to deliver good customer service

Computer Literate, including spreadsheets and word processing skills.

Where possible we would like to support our apprentice with their ongoing career on completion of their apprenticeship

Vacancy Description:

To have a thorough knowledge of all Practice procedures.
Have working knowledge of telephone/answering machine system.
Receive and make telephone calls as required. Divert calls and take messages. ensuring accuracy of detail and prompt appropriate delivery.
Deal with patient notes and correspondence.
Retrieve and re-file records as required.
Enter patient information on to the computer as required.
Ensure records are updated when required.
Fax and photocopy as requested.
Open post, stamp, sort and distribute as appropriate.
Ensure correspondence, reports, results etc. are scanned/filed promptly and in the correct records,
Ensure an effective and efficient reception service is provided to patients and any other visitors to the Practice
Deal with all general enquiries, explain procedures and make new and follow-up appointments.
Process appointment requests for appointments from patients by telephone and in person.
Undertake any other additional duties appropriate to the post as requested by the Practice Manager or the Partners.

Desired qualifications Maths and English GCSE grades 9-4 (A*-C) or equivalent qualifications are desirable but not essential

They may also have access to information relating to the Practice as a business organisation. All such information from any source is to be regarded as strictly confidential.
